Configuring Text Messaging in Office 365

This article describes how to configure text messaging alerting for email messages sent to your Illinois State University’s Office 365 Mail inbox.

Enabling Text Messaging

  1. In the Office 365 web portal, click the [Settings] button in the upper right of the screen.

  2. Click on [Options] (See Figure 1)

  1. Under the General options menu on the left, click on [Text Messaging] (Figure 2).

  1. Click on [Set up text messaging].

  2. Enter your country and provider information. Click [Next].

  3. Enter your phone number. Click [Next].

  4. A pass-code will then be sent to your device for set up validation. Enter the pass-code in the provided box. Click [Finish].

  5. A menu of configuration options will then be displayed. To set up text messages for specific emails, click on [Set up email notifications using an Inbox rule] (Figure 3)

Creating Text Message Notifications

  1. Click on [Set up email notifications using an inbox rule] on the Text messaging menu.

  2. Give the new inbox rule a name.

  3. On the conditions drop down, select an email condition for Outlook to use to send a text message.

Multiple conditions can be selected using the Add condition option.

For example, if you would like to receive a text message when your team is assigned a ticket in Cherwell:

  1. Locate an existing ticket assignment email and identify a consistent line of text that exists in all emails of this type. In the example below, the subject has “Assigned to AT Networking”, which is in all ticket assignment email notifications for the AT Networking team and is a consistent format used by all email notifications of this type. This will be used for the inbox rule (Figure 4).

  1. Select "It includes these words in the subject…" from the drop down menu (See Figure 5). Type Assigned to AT Networking. Click the [plus sign] to the right and click [OK].

  2. In the “Do all of the following” drop down menu, the Forwardredirect, or send —> "Send a text message to… " should already be selected. You may add additional rules by clicking the [Add action]button.

  3. Once completed, your rule should look like this.

  1. Click [OK] at the top of the screen to save and activate the rule.
