Create an Inbox Rule to Redirect All Messages in Office 365 Email

This article describes how you can use Inbox Rules to automatically redirect messages sent to your Illinois State University Office 365 email account, to another email account.

Office 365 Email

Illinois State University’s Office 365 Email can be accessed through the web, via an email client (such as Microsoft Outlook or Mozilla Thunderbird), as well on mobile devices. Office 365 email is the primary campus email and calendaring service for campus.

Forward vs. Redirect

Important: You will NOT be able to use the Forward option in Office 365, it will cause an error. Please make sure you are selecting Redirect.

Create an Inbox Rule to redirect all mail

To redirect mail from your Office 365 email account, to another account, the email account you are directing to will first need to be listed in your My contacts. If it is not already listed in My contacts, please refer to 718: Adding a Contact to My Contacts in Office 365.

  1. Navigate to Office365.IllinoisState.edu, log in, and launch the Mail app.

Note: For more information, refer to 641: How to Launch Apps in Office 365.

  1. Click the gear icon located in the upper-right corner of the window.
  2. Click [View All Outlook Settings] at the bottom of the window.
  3. Click [Rules].
  4. Click [+ Add New Rule] to create a New inbox rule.
  5. Enter a Name on the New inbox rule page.
  6. To Redirect all messages, select [Apply to all messages] from the drop-down titled Add a Condition menu.
  7. Underneath Add an Action, select [Forward to, redirect to, Move to]> [Redirect the message to] from the drop-down menu.

Please Note: You will NOT be able to use the Forward option in Office 365, it will cause an error. Please make sure you are selecting Redirect.

  1. On the My contacts screen, double-click on the contact email you wish to redirect messages to, and then click [Save].

If the contact email does not appear in My contacts, please refer to 718: Adding a Contact to My Contacts in Office 365.

  1. On the New inbox rule page, review the inbox rule for accuracy, and click [OK].

The rule has now created and a summary of the rule will be displayed.

Messages sent to your Office 365 email account will now be redirected to the email address as specified in our rule.

Important: Messages sent to your Office 365 email will now appear in both your Office 365 inbox, as well as in the inbox of the email account you are redirecting to.

Turn Off, or Delete the Redirect Rule

To turn off a rule in Office 365, do the following:

  1. Navigate to Office365.IllinoisState.edu, log in, and launch the Mail app.
  2. Click the gear icon located in the upper-right corner of the window.
  3. Click [View All Outlook Settings] at the bottom of the settings window.
  4. Click [Rules], locate the rule you wish to turn off, and switch the button from blue (on) to grey (off).

You have turned off the selected inbox rule.

To delete a rule in Office 365, do the following:

  1. Navigate to Office365.IllinoisState.edu, log in, and launch the Mail app.
  2. Click the gear icon located in the upper-right corner of the window.
  3. Click [View All Outlook Settings] at the bottom of the settings window.
  4. Click [Rules], locate the rule you to delete, and press the trash can icon to delete the rule. When asked "Are you sure you want to delete this rule?" click [OK] to delete the rule.

You have deleted the selected inbox rule.
